Terms and Conditions

PAYMENTS & CANCELLATIONS


1. Terms of service: 

The LU’MA Wellbeing included services are listed on each individual retreat page. Airfare, extra tipping beyond accommodation staff tip, travel insurance and alcohol are not included. Nor is travel beyond the excursions laid out in the retreat schedule.


2. Reservation:

To reserve your place on one of our retreats, please pay the required deposit via the website or by emailing hello@lumawellbeing.com for other payment options. Your spot is only reserved once the deposit is received. Deposits are not fully refundable. Please see the Cancellation policy below for a full breakdown.


3. Payment:

All prices are per/person GBP and you may pay in instalments or in one full payment. Any incentives or discounts will be applied to the final total due, however, please note we must receive the deposit in full to confirm your space. 

 

Final payments are due 75 days/6 weeks before the start date of the trip to keep your spot secure. Refunds are available only according to the conditions described below. If you do not think you can pay in time please contact us via email and we will do our utmost to accommodate. Monthly payment plans can be organised to keep you on top of paying for your retreat. Payment can be made via the website, PayPal, direct credit card or wire transfer. Please note, any associated banking fees related to wire transfers or credit card payments will be paid by the participant.


4. Cancellations Policy & Deposits:

We understand that sometimes life throws us a curveball and we can’t forsee unplanned events, sickness, work or family circumstances. We have tried to make our deposit and cancellation policies as flexible and fair as can be, without leaving ourselves and the many independent business vendors we work with in a vulnerable position.

With every cancellation we lose money, quite often a large sum and as the years have gone by, we’ve gathered feedback that has us arrive at the current policy, that keeps the cancellation process as fair as possible for all involved.

5. Signing-up:
Sign up 75 days / 6 weeks before your retreat and a £500 deposit will hold your place.
At the 75 day mark, your final/full payment is due. We will send a reminder email + follow up with you if we still haven’t gotten it, however, we do reserve the right to give up your space if we haven’t received your final payment at this point. Please do get in touch with us if you are struggling to pay the final amount of retreat and still wish to join us. 
Sign-up under 75 days and the full amount of the retreat is due.

 

6. Cancellations.
Cancel 120+ Days Prior to the start date of the program:
Deposit is refundable, minus a £50 admin fee.


Cancel 75-120 Days Prior to the start date of the program:
Deposit is non-refundable unless you are able to fill your space. We can transfer your space to another trip at no cost.
If you paid in full we’ll return everything minus the deposit.


Cancel 30-75 Days Prior to the start date of the program:
Deposit & Full Payment is non-refundable unless you are able to fill your space. We will also try our utmost to help you cover your space. You may transfer to another trip for a £200 fee.

Cancel under 30 Days Prior to the start date of the program:
Deposit & Full Payment is non-refundable, unless you are able to fill your space. We will also try our utmost to help you cover your space. You may transfer to another Lu’ma Wellbeing retreat £350 fee.


If you choose to leave the program early or at any point during the program dates, there will be no refund provided

*Lu’ma wellbeing is not responsible for any costs or fees associated with refunding wire transfer payments. Your receiving bank may charge a fee to process the refund back into your account and this cost is not payable by Lu’ma wellbeing.
*All refunds take a maximum of 30 days to process

7. Important:

If you do not submit full payment 60 days before the retreat and do not cancel your registration or respond to our communication, Lu’ma Wellbeing retains the right to keep all payments received. Please consider travel insurance to protect the costs of your trip in the case of injury, illness or inability to attend for other reasons. We consider this a compulsory part of travel as Lu’ma wellbeing does not accept liability for any accidents, injury, theft, change to retreat plans or cancellation during the active dates of our retreat.

8. Changes/Trip Cancellations
Lu’ma Wellbeing reserves the right to make any changes deemed necessary by our team, trip leaders, teachers or partners. In the event that we need to make a last-minute change to the venue, the teacher, the itinerary, or any aspect of the retreat due to unforeseen circumstances (natural disaster, illness, civil unrest, death, closure, COVID-19 or any other unforeseen circumstance) we will offer the following to our guests that do not want to attend based on changes:

Transfer your deposit to a future retreat to be taken within 1 year from the date of the current retreat. All other payments will be forfeited and Lu’ma wellbeing will not be liable for refunding or reimbursing any amount beyond the transfer of the deposit. If you choose to completely cancel the retreat based on the changes, normal cancellation policies apply (see above). Lu’ma Wellbeing is not responsible for reimbursing you or refunding you for any amount paid if you decide to cancel based on these changes.

*We require travel insurance so that you can make a claim based on these possible changes and have some of your expenses reimbursed by the travel insurance in addition to other medical and travel complications that can occur.

In the rare case of a cancellation or postponement on the part of a Lu’ma wellbeing retreat we will offer a full refund or transfer to another trip. Lu’ma wellbeing is not responsible for any expenses or damages incurred as a result of trip cancellation or postponement including preparation costs, airline tickets, travel documents or other expenses. Lu’ma wellbeing reserves the right to cancel any trip prior to departure in the event that there are too few people booked in which case you will be given a full refund of any and all payments made to us at Lu’ma wellbeing. You will not be entitled to claim any additional amounts or seek any compensation for any injury, loss, expenses or damage (either direct or consequential) or for any loss of time or inconvenience which may result from such cancellation (including but not limited to visa, passport and vaccination charges, or departure, gear purchases, airport and airline taxes).

INSURANCE & DOCUMENTS.

9. Travel Insurance:
Lu’ma wellbeing requires each trip member to purchase individual travel insurance for their trip for both international retreats and domestic retreats. We suggest that you include “cancel for any reason” with your policy. You must purchase travel insurance that includes medical coverage, with specific Covid-19 medical coverage and cancellation and curtailment provision which is now available from many reputable providers. We recommend purchase insurance within 1-2 weeks after making your first trip payment (ie. flight or retreat reservation) to secure the best price and best coverage.

7. Travel Documents and Immunizations:
It is the responsibility of each traveler to obtain all required travel documents including Visas and other travel documents unless otherwise noted. Information regarding necessary documentation is provided per trip on our website or you can contact us for more detailed information regarding your trip requirements. It is your responsibility to purchase correct immunizations, COVID-19 Vaccines, PCR Test or other related requirements to travel to and from your place of origin. Please contact your nearest travel clinic for the lastest requirements.

ACKNOWLEDGEMENT.

 

10. Acknowledgment of Risks – Assumption of Responsibility:
Although Lu’ma Wellbeing has taken reasonable steps to ensure safety, we acknowledge that this activity has risks, including certain risks which cannot be eliminated without destroying the unique character of this activity. The same elements that contribute to the unique character of this activity can cause loss or damage to the Participant including accidental injury, illness or in extreme cases, permanent trauma, disability or death and also can cause damage to or loss of property. The following describes some, but not all, of those risks.

Activities vary from trip to trip and may include but are not limited to: hiking, backpacking and climbing in a wide variety of environments including on rock, snow and ice; bicycling and scootering on trails and roads with a wide range of surface conditions and traffic volume; rock climbing, climbing on climbing apparatus and ropes courses, using zip-wires and rope swings; white-water rafting, river kayaking, sea-kayaking and canoeing; swimming, snorkelling and surfing;

Lu’ma Wellbeing trips can involve travel to remote places, oftentimes many hours from medical facilities. Transportation, evacuations and medical care can be significantly delayed; communication can be delayed, limited or not available.

Environmental risks and hazards include rapidly moving, deep or cold water; insects, snakes and predators, including large animals; falling and rolling rock; lightning, flash floods and unpredictable forces of nature, including weather which may change to extreme conditions without warning. Possible injuries and illnesses include hypothermia, frostbite, high altitude illnesses, sunburn, heatstroke, dehydration and other mild or serious conditions.

Throughout the trip, participants are responsible for their own safety. I (the trip participant) acknowledge and understand that  Lu’ma Wellbeing trips include risks of injury or death to participants. I understand the description above of these risks is not complete and that other unknown or unanticipated risks may result in property loss, injury or death. I agree to assume responsibility for the inherent risks identified herein and those inherent risks not specifically identified. I acknowledge that participation in this activity is purely voluntary, no one is forcing participation and participation is elected with full knowledge of the inherent risks.

I (the trip participant) assume and accept full responsibility for any injury, death, loss of personal property and expenses suffered as a result of those inherent risks and dangers identified above, and those inherent risks and dangers not specifically identified and as a result of my negligence in participating in this activity.

WAIVER.

11. Release and Waiver of Liability:

DECLARATION OF HEALTH. By accepting this Tour Participant Agreement I (the trip participant) represent that I have no physical conditions or medical precautions which would adversely affect my ability to take part in the yoga program or other physical or cultural activities offered on Lu’ma wellbeing trips. I fully understand that my participation in the yoga program or other activities could be injurious to my health and I voluntarily assume all risks related to such activities.

PERSONAL RELEASE.

By agreeing to the terms outlined here and elsewhere on the Lu’ma Wellbeing website I hereby release and discharge my rights and claims for damages or liabilities that may occur as a result of participation on a Lu’ma wellbeing trip, including but not limited to damages as a result of unexpected occurrences including those from weather, local political situations, wildlife or uncontrollable acts, including the risk of death. I release Lu’ma Wellbeing including its owners, directors, employees, guides, yoga teachers and partners from liability for personal injury, illness, emotional damage, incurred travel expenses or property damage I may incur as a result of participation on this trip.

For the benefit of everyone on your trip, Lu’ma Wellbeing reserves the right to accept or reject any participant at any time without liability, and in the event it determines, in its sole and exclusive discretion, that a participant is disruptive to the harmony of the trip, it may without any obligation to pay a refund or any other amount whatsoever, expel such participant from the trip. Lu’ma wellbeing will carry no responsibility or liability for any participant who leaves the trip prior to its conclusion or for any activity undertaken by any participant which is not included on the trip itinerary.
